Officer Information
Student organizations are required to provide the following information for each of your officers below. Please remember that all student organizations need the following:
- A minimum of 4 officers, all of whom are currently enrolled as matriculating UNE students.
- A minimum of 2 officers must agree to post their names, positions, and email address on the GAPSA website
- A MAXIUMUM of 2 officers must be authorized signers for your student organization’s finances. (This is typically the Treasurer and President.)
- A Councilor to GAPSA (all recognized organizations) must agree to post their name, position, and email address on the GAPSA website.
- A Senator to GAPSA (if the organization represents an academic program) must agree to post their name, position, and email address on the GAPSA website.

Officer Contract
This page must be signed by all of your student organization’s officers listed in the Officer Information section. By signing this, you are taking responsibility for the actions of your student organization and for communicating with the office of Graduate & Professional Student Affairs.
As an officer of my University of New England student organization, I agree on behalf of my student organization to:
- Be enrolled as a matriculate student in good academic standing at the University of New England through Spring Semester 2015.
- Maintain a level of active membership of no fewer than 10 students (including officers)
- Send the President, Treasurer, Councilor and Senator (if academic program organization) to the Student Club & Organization Fall (October 3) and Spring Training Workshops. If my student organization becomes registered after these meetings, I will have at least two (2) officers meet with a representative of Graduate & Professional Student Affairs within one (1) week upon being notified.
- Keep my student organization’s finances in order, pay all outstanding bills, and be in communication with the office of Graduate & Professional Student Affairs and the Graduate and Professional Student Association regarding my organization’s fiscal matters
- Ensure that my organization does not have accounts or holdings in any external financial institution.
- Have my student organization’s ratified constitution on file with the office of Graduate & Professional Student Affairs.
- Provide immediate updates to the office of Graduate & Professional Student Affairs as soon as any changes are made to the student organization contact info, officer roster, advisor(s), and/or constitution.
- Be in regular contact with my student organization’s advisor(s).
- Follow all University policies, procedures as well as all guidelines as outlined in the Student Organization Manual, University of New England Student Handbook and any professional standards of your related academic or professional program.
- Report any and all organizational misdoings and conduct that does not follow University policies and procedures.
- Adhere to the University of New England’s Non-Discrimination Policy: Consistent with all applicable federal and state laws and University policies, we as the officers agree that our student organization and its officers, members, advisors, and subgroups will not discriminate for or against any person for reason of age, ancestry or national origin, class or socio-economic status, color, creed or religion, ethnicity or race, gender expression or gender identity, marital status, mental or physical disability, parental status, sex, or sexual orientation.
- Contact Graduate & Professional Student Affairs if my student organization cannot fulfill any attendance requirements or with any questions or concerns.
- Adhere to the University of New England’s Hazing Policy (see section X).

This page must be signed by your student organization’s advisor(s) listed in the Advisor Information section. By signing this, the Advisor is taking on the following responsibilities and agreeing to receive communications from Graduate & Professional Student Affairs.
As a University of New England student organization advisor, I agree to:
- Be a current full time employee (staff or faculty member) at the University of New England.
- Assist officers with procedural matters. Be knowledgeable of the organization’s purpose/ mission and constitution and help membership adhere to it.
- Be knowledgeable of and comply with federal, local and state laws as well as University policies and procedures. Inform and guide the group in compliance.
- Empower students to take action and take satisfaction in seeing the organization succeed.
- Develop clear expectations with organization leadership about the advisor role, level of involvement and relationship with the organization.
- Attend Advisor Trainings and Workshops as established and required by the Office of Graduate & Professional Student Affairs and/or other University offices.
- Let the organization and student leadership make the decisions while the advisor provides guidance and advice. Provide a sounding board for the student organization’s ideas and suggestions.
- Help with any activities in which the student organization participates and sponsors to the best of my ability.
- Attend student organization meetings as deemed necessary.
- Attend all organization sponsored off-campus trips and events.
- Review expenditures and financial reports of the organization with the President/Treasurer. Be knowledgeable of the organizations financial structure (dues, fundraising, etc.) for what the money us used for, how it is allocated and budgeted. Assist in budget development and execution. Follow all University financial policies and procedures.
- Mediate conflict between the student organization’s officers and/or members. Discuss concerns with individual officers or members in private, praise in public.
- Accept and respond to contact and inquires from Graduate & Professional Student Affairs.
- Assist the student organization to find a replacement advisor if unable to fulfill obligations due to a leave of absence, sabbatical, leaving the University, etc.
- Adhere to the University Non-Discrimination and Equal Opportunity Policy: Consistent with all applicable federal and state laws and University policies, that the student organization and its officers, members, advisor(s), and subgroups will not discriminate for or against any person for reason of race, sex, sexual orientation, gender identity and expression, ethnicity or national origin, religion, age, creed, color genetic information, physical or mental disability, HIV status, or status as a disabled veteran or veteran of the Vietnam era.
- Orient new offices to the history and purpose of the organization and help them build upon it. Assist in setting goals and long range planning to assist future members.
- Encourage feedback and evaluation of all organization activities and the advisor role.
- Provide support. Help with any activities in which the student organization participates and sponsors to the best of my ability.
- Attend all organization sponsored off-campus trips and events.
- Contact Graduate & Professional Student Affairs for any questions and concerns.
As a University of New England student organization advisor, I agree NOT to:
- Attempt to know everything.
- Be the organization leader and run things.
- Impose individual bias or needs on the organization.
- Utilize organization funds inappropriately; making unauthorized purchases, etc.
- Tell the organization what they are going to do, or do the work of the President of other members of the executive board.
- Take ownership for the organization or be smothering.
- Call meetings and promote an agenda that is beyond the goals or plan of the organization.
- Assume that the organization’s attitudes, needs and personalities will remain the same year to year.
- Assume the group handles everything okay and the advisor is not needed.
- Become such an advocate that an objective viewpoint is lost.

The University of New England has a zero tolerance policy on hazing, and the consequences can be severe. Participating in hazing activities may lead to individual disciplinary action, team disciplinary action and/or termination of the team or student organization.
The University defines hazing as any action that recklessly endangers the physical or mental health of a person, or that violates the dignity of another person. Hazing is further defined as any activity that is expected of someone to join a group or team that humiliates, degraded, abuses, or endangers them, regardless of intention or willingness to participate. Initiation activities and initiation parties fall into this category. The University enforcement of hazing will prevail regardless of whether it is conducted on or off University property.
Hazing activities may include but are by no means limited to the following team functions: use of alcohol; nudity; paddling in any form; branding or shaving; creation of excessive fatigue; consumption of excessive and/or an unusual combination of food; physical and psychological shocks; quests; treasure hunts; road trips; or any other such activities carried out on or off campus; wearing apparel that is conspicuous and not normally in good taste; engaging in public students of buffoonery; morally degrading or humiliating games and activities; and any other activities which are not consistent with state and local law (including legal drinking age), or the regulations and policies of the University of New England.
The University of New England has the right to determine what is or isn’t hazing. If an incident is reported, the University will conduct a full investigation into any allegations and determine the proper course of action.

Hazing Policy Acknowledgement
1. I have read the above statement and the University of New England Hazing Policy and fully acknowledge the risks and repercussions of hazing and initiating activities. I also fully understand the zero tolerance policy of hazing at the University of New England, and recognized that there are serious penalties for all parties involved in hazing (including suspension/expulsion from the organization, the University, and/or removal of University organizational recognition or registration.) I certify that I will not engage in or tolerate from others hazing or initiation activities or any kind.
